Set up gmail labels to act like folders (Firefox only)

One of the most difficult parts of the tranisition from a desktop-based email client like Thunderbird to a web-based client like gmail is the lack of folders or directories to organize email. Gmail instead allows the user to label emails. Labels can function like folders, with the added benefit that you can have more than one label on a given email. This tweak uses a Firefox add-on called Better Gmail 2.

  • In Firefox, open the add-on window
    • Click Tools > Add-ons
    • Click on Get Add-ons tab
    • In the Search Box, enter better gmail. If Better Gmail 2 doesn't show up, click on See all results. This will take you to a web page on the Mozilla site. On the Better Gmail 2 entry, click on Add to Firefox.
    • Alternatively, go directly to the Better Gmail 2 web page.
    • After installing, restart Firefox.
    • Click Tools > Add-ons to open the Add-on window again.
    • The Extensions tab should be highlighted — if not, click on it.
    • Click on Better Gmail 2, and click on Options.
    • On the Sidebar tab, check Folders4Gmail. You can set many other behaviors here as well. Click OK
  • Now, set up your labels to act as nested folders
    • In Gmail, click on Settings, then the Labels tab.
    • Add any labels that you want here. To add a nested folder, use a forward slash to separate the levels. For example:
      ListServes/AK-Entomology
      ListServes/Distro-Tech
      ListServes/Distro-Tech/Save
      ListServes/IAB-Staff
      ListServes/UAF-Computing
    • These labels will show up looking like nested directories on the left-hand sidebar. Click on a plus symbol to open a closes tree branch, or on a minus symbol to close an open tree branch.
    • If you are viewing an email, you can add labels by choosing either the Move to (for a single label) or Labels (for more than one) button.
    • Google has recently implemented Drag and Drop labels: to Move an email to a label, hover your mouse just to the left of the checkbox at the beginning of the email line. The cursor changes to an open hand. Now drag it to the desired label (folder). This will add that label and remove the email from the Inbox. To add more than one label, you can drag the label(s) and drop them on the email. This will add the desired labels and leave the email in the Inbox.
